Quantum CRM Intelligence

Make the CRM operationally intelligent
without replacing it.

Quantum connects official CRM state with inventory, buyer conversations, human activity, agent decisions, appointments, and verified outcomes through one governed opportunity timeline. The CRM remains the system of record. Quantum coordinates what happens next.

The record is not the whole opportunity

The CRM knows what was entered. Quantum understands what is happening.

CRMs are essential systems of record, but the live opportunity often moves faster than the fields inside them. A buyer reopens a vehicle. A salesperson misses a response. Hannah completes a qualification. An appointment is confirmed. A vehicle sells. A handoff is accepted. A rescue condition appears.

Quantum connects those events without forcing the dealership to abandon its existing CRM.

  • Official Record

Contacts, opportunities, stages, owners, appointments, activities, and outcomes.

  • Live Operational Evidence

Inventory, messages, calls, response timing, engagement, handoffs, recommendations, and system events.

  • Governed Next Action

What may happen next, who owns it, why it is allowed, and where the result must be recorded.

The shared intelligence spine

Every system and participant sees the same accountable history.

Quantum maintains an event-based opportunity timeline instead of relying only on fields that are repeatedly overwritten.

Timeline events may include

  1. 01Vehicle added or updated
  2. 02Listing published or removed
  3. 03Buyer inquiry received
  4. 04Contact matched or created
  5. 05Hannah response
  6. 06Buyer qualification
  7. 07Appointment proposed
  8. 08Appointment set
  9. 09Human handoff offered
  10. 10Human handoff accepted
  11. 11Coach recommendation
  12. 12Rep activity
  13. 13Appointment confirmed
  14. 14Appointment missed
  15. 15Rescue triggered
  16. 16CRM write confirmed
  17. 17Sold or lost outcome

Each event records

  • Event ID
  • Dealership and rooftop
  • Buyer and opportunity
  • Vehicle
  • Actor
  • Source system
  • Event type
  • Timestamp
  • Consent state
  • Ownership state
  • Evidence
  • Writeback status
  • Correlation and causation

The timeline can be replayed, audited, reconciled, and used by Hannah and Coach without giving either agent unrestricted authority.

One consistent structure

Normalize the opportunity before trying to automate it.

  • Organization

Dealer group, rooftop, department, timezone, operating hours, rules, integrations, and permissions.

  • Person

Buyer or employee identity with verified contact points and documented uncertainty.

  • Vehicle

Canonical inventory record with source, freshness, price, photos, availability, and dealership rules.

  • Opportunity

The commercial relationship connecting buyer, dealership, vehicle interest, source, owner, stage, and outcome.

  • Conversation

Voice, SMS, email, Marketplace, or web interactions tied to the same opportunity.

  • Appointment

Proposed, set, confirmed, missed, rescheduled, completed, or cancelled.

  • Ownership

Who currently has the right and responsibility to communicate or act.

  • Consent

Channel, purpose, source, timestamp, disclosure, opt-out, and suppression state.

  • Recommendation

Coach guidance with evidence, confidence, expiration, and result.

  • Outcome

Show, test drive, application, sale, delivery, lost reason, or unknown.

One buyer. One opportunity history.

Resolve identity before creating another record.

Quantum checks approved identifiers and existing dealership records before creating a new person or opportunity.

Possible matching signals

  • Verified phone
  • Verified email
  • CRM customer ID
  • Source lead ID
  • Conversation thread
  • Vehicle and dealership context
  • Dealer-approved deterministic rules

Identity states

  • Verified Match
  • Likely Match: Review Required
  • Possible Duplicate
  • New Person
  • Unresolved

Quantum distinguishes verified identity, likely match, possible match, and unresolved identity. It does not force uncertain records together or create hidden public-data profiles.

Respect the record. Preserve the evidence.

Quantum never hides disagreement between the CRM and the live opportunity.

The official CRM stage remains authoritative. Quantum may maintain a separate evidence-based inferred state to help the team recognize stale records or emerging risk.

Coach may explain the conflict. Hannah acts only when an approved rule authorizes it.

The complete CRM loop

Intelligence is only useful when the result returns to the system of record.

  1. 01

    Read

Quantum receives only the dealership-approved contacts, opportunities, owners, activities, appointments, consent, and outcomes required for the workflow.

  2. 02

    Understand

Quantum combines official state with current inventory, communication, timing, ownership, buyer engagement, and dealership rules.

  3. 03

    Act

Hannah, Coach, notifications, appointments, rescue, and escalation operate only within explicit authority.

  4. 04

    Write back

Durable facts return through the approved connector with source, timestamp, idempotency, retry, reconciliation, and audit evidence.

READ · fields touched

  • contact.id
  • opportunity.stage
  • opportunity.owner
  • appointment.start
  • consent.sms

Field names are representative. Exact mapping depends on the CRM and the scopes your dealership authorizes.

The safest available path

Every dealership system requires a defined connection contract.

  • Certified API

Vendor-approved production access with documented authentication, data scope, and capabilities.

  • Dealer-Authorized API

A dealership activates and scopes access through the vendor’s approved process.

  • Webhook

The connected system sends approved events to Quantum as they occur.

  • ADF/XML

Automotive lead delivery used primarily to create a new CRM lead or opportunity.

  • Managed Feed

Approved inventory or operational data delivered through a supported file or service connection.

  • Scheduled Export

Dealer-controlled reports used for read-only context, outcome matching, or reconciliation.

Dealer approval is valuable, but it does not automatically override a CRM vendor’s technical or commercial requirements. Quantum documents both the dealership authorization and the vendor-approved access path.

Authorized by the dealership

The dealership controls where Quantum connects and what it may do.

Dealer controls

  • Authorized rooftops
  • Approved data categories
  • Permitted users and departments
  • Read permissions
  • Write permissions
  • Allowed workflows
  • Communication channels
  • Retention requirements
  • Activation date
  • Expiration or revocation

Quantum uses the least access required for the approved workflow. Access can be suspended without deleting the dealership’s official records.

Who may act now?

CRM stage alone does not determine communication authority.

Before any buyer-facing action, recommendation, appointment, rescue, or writeback, Quantum evaluates the current owner and permitted action.

Possible owners

  • Hannah
  • Assigned salesperson
  • BDC representative
  • Manager
  • Dealership-controlled workflow
  • Nobody: action blocked

Action states

  • Allowed
  • Approval Required
  • Monitoring Only
  • Waiting
  • Escalate
  • Blocked

Coach may recommend an action without being allowed to execute it. Hannah may communicate only while her buyer-facing authority is active.

No silent failures

A write is not complete until the destination confirms it.

Every writeback includes

  • Quantum event ID
  • Dealer and rooftop
  • Destination system
  • Record identifier
  • Operation type
  • Payload version
  • Source and actor
  • Timestamp
  • Idempotency key
  • Attempt count
  • Destination response
  • Final status

Writeback states

  • Pending
  • Confirmed
  • Retrying
  • Rejected
  • Attention Required
  • Reconciled

If a write fails, Quantum follows the configured retry and escalation path. It never tells an agent or user that the CRM was updated unless confirmation exists.

Traceable by design

Every consequential action should be explainable after it happens.

  • 01

    Who or what acted?

The agent, user, workflow, or connector responsible for the action.

  • 02

    Which dealership authorized it?

The rooftop, scope, and activation that permitted the action.

  • 03

    Which buyer and opportunity?

The person and opportunity record the action belongs to.

  • 04

    What data was read?

The approved categories and fields used to reach the decision.

  • 05

What policy allowed or blocked it?

The consent, ownership, and dealership rule evaluated at that moment.

  • 06

    Which source supported the decision?

The evidence, event, or record the action relied on.

  • 07

What tool or connector was used?

The path taken to the destination system.

  • 08

    Did the destination confirm success?

The response, status, and retry history returned by the system.

  • 09

    What happened next?

The following event on the opportunity timeline.

Sensitive payloads may be redacted while preserving the operational evidence required for support, compliance, reconciliation, and customer review.

FAQ

Common questions.

Does Quantum replace our CRM?+

No. The CRM remains the official system of record. Quantum coordinates operational intelligence and authorized action around it.

Can dealer approval give Quantum CRM access?+

Dealer approval is often required, but the available access also depends on the CRM vendor’s technical, contractual, and partner requirements.

Can Quantum integrate without an API?+

Some workflows can begin through ADF/XML, approved feeds, webhooks, scheduled exports, or other dealer-authorized methods. These methods may not provide full bidirectional or real-time capability.

Does Quantum scrape CRM screens?+

A browser-based adapter may be used as a clearly labeled demonstration or workflow prototype. Production access should use vendor-permitted, dealer-authorized connection methods.

Can Quantum change CRM stages automatically?+

Only when the connector supports it and the dealership has explicitly authorized the field, workflow, and conditions. Otherwise Quantum recommends or requests the correction.

How do Hannah and Coach use CRM data?+

Hannah receives only the buyer-facing context and actions she is permitted to use. Coach receives the rep-facing context required to recommend the next move. They do not share unrestricted access.

What is CRM intelligence for dealerships?+

CRM intelligence turns the data already in the CRM into timely guidance for salespeople and managers, using live opportunity state, buyer behavior, and verified outcomes.

How does AI write back to a dealership CRM?+

Quantum writes only authorized facts with source, timestamp, idempotency key, and destination response. Every write is confirmed or flagged for retry and reconciliation.

Can AI integrate with VinSolutions, DealerSocket, and Elead?+

VinSolutions and DealerSocket are live as dealer-authorized connections. Elead is in pilot. The exact read/write depth is documented on the integration status page.

What is the difference between a CRM and an AI layer?+

The CRM is the official record. The AI layer reads from approved sources, recommends or takes governed actions, and writes results back. It does not replace the CRM.

How does AI keep CRM data accurate?+

Quantum reconciles CRM state with live inventory, communication, and appointment data, flags conflicts, and follows dealership rules for correction rather than silently overwriting records.
